Setting Up Preventative Maintenance

The Preventative Maintenance Setup option allows users to create, view, and modify the preventative maintenance schedules (that repeat every 3 days, every Thursday, or on July 17 every year) for different equipment in the property to avoid unforeseen equipment failures and maintain all equipment in a good condition.

Perform the following steps to set regular maintenance for equipment at the property:

Navigate to Housekeeping à Maintenance à Preventative Maintenance Setup.

Click Create Preventative Maintenances. The Create Preventative Maintenances screen appears.

Refer to the following table and fill in the fields:

Field

Description

Preventative Maintenance Code

A unique code to identify the preventative maintenance record.

Priority

Select the priority of the preventative maintenance work.

Minutes Required

The time required in minutes to complete the preventative maintenance work.

Maintenance Category

The maintenance category to which the preventative maintenance work belongs.

Preventative Maintenance Description

A description for the preventative maintenance schedule.

Active

Select the option to indicate that the record created for the preventative maintenance is active.

Schedule

Select the recurrence schedule for the preventative maintenance job using one of the following options:

  • Daily - This recurrence pattern schedules the maintenance work to repeat based on the number of days between each occurrence. That is, users can configure preventative maintenance to be performed every few days or all weekdays based on whether the user selects Every or Every Weekday. If the selected option is Every, the user can enter a value representing the recurring frequency in the Days field. For example, if the user enters 2 in the Days field, the selected preventative maintenance will be performed at the property every 2 days.

  • Weekly - This recurrence pattern schedules the maintenance work to repeat on the same day or days of the week, based on the number of weeks between each set of occurrences. That is, the user can enter a value representing the frequency of repetition in the Recur every weeks on field and select the days of the week during which maintenance must be performed. For example, if a user enters 2 in the Recur every weeks on field and selects Tuesday and Friday as the days of the week, the preventative maintenance will reoccur on Thursday and Friday every 2 weeks.

  • Monthly - This recurrence pattern schedules the maintenance work to repeat on the same day of the month, based on the number of months between each occurrence. For example, if a user enters 10 in the Day field and 3 in the Of Every Month field, the preventative maintenance will reoccur on the 10th day of every 3 months.

  • Yearly - This recurrence pattern schedules the maintenance work to repeat on the same month and day of the year, based on the number of years between each occurrence. For example, if a user enters March in Every Month Of field and 14 in the Day field. The preventative maintenance will reoccur on March 14

Start Date

The start date for the preventative maintenance schedule.

End Date

The end date for the preventative maintenance schedule. 

No End Date

When enabled, the End Date field is disabled, and no end date will be configured for the preventative maintenance in the system. The schedule will automatically reoccur based on the set time interval.

Schedule After Next Completion

Select the checkbox to schedule the next maintenance after completion of the existing maintenance job.

The Asset Type tab allows users to select the equipment for preventative maintenance from the list of records displayed in the grid. The records are displayed based on the selected asset type - Room/Location, Activity Item, and Golf Pro Rental Item.

Users can filter the records in the grid using the following fields:

  • All - The records mapped to all asset types (Room, Location, or Activity/Rental) in the Equipment Maintenance Setup are displayed.

  • Room Only - Only records that are mapped to the Room asset type in the Equipment Maintenance Setup are displayed.

  • Location Only - Only records that are mapped to the Location asset type in the Equipment Maintenance Setup are displayed. 

  • Equipment Type - Only records that match the entered equipment name are displayed.

  • Building - Only the records of the equipment available in the selected building are displayed.  

  • Floor - Only records of equipment available in the entered floor number are displayed.

Select the equipment to be scheduled for preventative maintenance from the Asset Type tab.

Select the parts of the equipment to be changed during the scheduled preventative maintenance. The user can search for a part or select the category from the Category drop-down list to filter the number of records in the grid. 

Click Save. The preventative maintenance schedule is created and displayed in the grid.

The schedules created here will also be displayed in the Work Order screen grid.
